Job Description

SPONSORSHIP ADMINISTRATOR

PURPOSE OF THE POSITION

To administer and manage data processing in Single STEP in order to successfully support Area Program (AP) and WVBiH Operations.

Contribute to the well-being of children in target communities through timely tracking the progress in lives of registered children via regular monitoring, checking their presence and participation in the AP activities.

MAJOR RESPONSIBILITIES

20% of time - Correspondence quality monitoring and processing:

  • In cooperation with DF ensure quality of all correspondence from AP to Support Offices (SOs) and vice a verse.

  • Translating, managing and archiving all correspondence, forms and documents according to set standards.

  • Administer mailing with SO in cooperation with Administration Department.

  • Coordinate Sponsors’ visits with DFs, project partners/Support Offices and related families.

  • Provide response to SO queries and requests in cooperation with DFs

End results expected:

  • All correspondence is processed in appropriate system and according to given time frame.

  • Ongoing monitoring of activities related to sponsorship operations.

  • Sponsors visits organized to mutual satisfaction of all parties. Visit reports sent to SOs timely.

  • All Sponsors and/or SO Queries followed up and processed in appropriate system according to the practice and standards.

30% of time - System Information Management

  • SP data processed with relevant SP systems.

  • Collaborate with IT in ensuring Sponsorship systems are functional.

  • In cooperation with IT implement all new system initiatives.

End results expected:

  • All relevant SP data processed in timely manner.

  • All data discrepancies between SO and ADP resolved.

  • SP systems up to date.

10% of time - Sponsorship Processes, Quality Assurance and Reporting

  • Ensure the sponsorship quality standards are met

  • Create/export and submit any relevant/required reports

  • Monitor the RCs’ number, presence, health, education and participation.

  • Provide input and feedback to program integrated planning.

  • Provide quality Child monitoring standard, sponsorship minimum programming standard, and sponsorship standard training to staff and volunteers.

End results expected:

  • All sponsorship processes are done according to time scheduled created in the annual sponsorship operating plan

  • All reports exported from database and all other relevant external reports created and submitted on time.

  • SP inputs included in program Integrated plan.

  • Staff, volunteers and partners trained in SP standards

30% of time - Management of Registered Children (RC) data

  • RC growth processing.

  • Child Monitoring processing

  • Provide coordination and support to ensure Child Monitoring Standards are met.

End results expected:

  • All child information checked coded and processed in Single Step.

  • RC data updated and maintained in appropriate system.

  • Follow up on incorrect and inconsistent data is done

10% of time - SIP

  • Participate in sponsorship education processes and contributes as needed, providing technical input on sponsorship messaging.

  • Participate in community engagement and capacity building efforts of partners and community groups.

  • Provide subject matter expertise for integration of sponsorship requirements with development process and life skills.

End results expected:

  • Technical aspects of SP included in programming.

  • Utilize opportunities for community engagement and exposure.

  • Local partners and community groups aware of technical aspects of SP.

  • Best practices of SP integration collected and shared across teams.

KNOWLEDGE, SKILLS AND ABILITIES

  1. High school diploma is essential

  2. Post-secondary education, Technical Professions is advantage

  3. High computer proficiency

  4. Knowledge of English – intermediate level

  5. Multitasking and ability to work under pressure

  6. Good organizational skills

  7. Good communication skills and ability to build collaborative relationships

  8. Good interpersonal skills and ability to foster a good team spirit

  9. Ability to transmit information correctly with accountability and maintain confidentiality

  10. Time management in efficient manner

  11. Oriented to detail

  12. Minimum 2 years of experience in office requirements and database operations (administration and management of data) is essential
