Assistant Accountant Maternal and Child Enhancement Project

PURPOSE OF POSITION

Support the Senior Accountant in implementation of the maternal and child nutrition enhancement project financial processes as per WV policies, donor standards and procedures to attain quality program.

Financial Planning/Budgeting

  • Prepare purchase project requests and payment requisitions against approved budgets

  • Print and file all approved budgets

-Project requisitions are paid based to approved budgets

-Approved budgets are printed and filed

Financial accountability/reporting

  • Prepare petty cash analysis statements and cash count certificates on monthly basis

  • Participate in monthly project review meetings at 25th and support the senior accountant in implementation of the plan of action.

  • Print and file all minutes for FFR proceedings

-FFR Minutes are printed and filed

-Project Monthly Action Plans elaborated and implemented

Risk Management

  • Retrieve and submit all required financial documents to the senior accountant during the internal and external audits.

  • Participate in the review of project MWRAP on finance related issues and support the implementation of mitigating controls

  • Prepare all transactions in line with established internal controls and donor requirements

  • Ensure that cash and checks books are kept under lock in a safe.

Stores management

  • Prepare all stores receipt and issue notes for review for the senior accountant in line with the established standards.

  • Update all stores records such as bin cards, stock cards, stores ledger among others on weekly basis.

  • Notify management on re order levels for stores.

  • Prepare monthly stores report/ inventory report for review by the senior accountant

-All stores receipt and issue notes prepared

Cash Management

  • Draw cash from the bank and deposit any receipts in line within 24 hours as required by the established cash management policy

  • Pay cash to staff and other stakeholders in a timely manner.

Disbursements

  • Prepare timely payments of suppliers and staff

  • Code accurately all transactions for accuracy

  • Establish a proper filing system for all financial transactions

  • Support all transactions adequately with required backup documents before payment is made

-Payments are done I line with the policy

KNOWLEDGE, SKILLS AND ABILITIES

Minimum education, training and experience requirements to qualify for the position:

  • Minimum Qualification required: Bachelor Degree in Accounting, Finance or Business Administration

Preferred Skills, Knowledge and Experience:

  • Minimum 2 years’ experience as assistant accountant in an INGO and minimum 2 years’ experience as assistant accountant for a WB funded project

  • Good in written and spoken English and French

  • Very good computer skills in Excel & Sun-systems software.

Work Environment:

  • Work environment: field based with frequent travel to project sites and to Head Office

  • Travel: 10% Domestic travel is required.

  • On call: 10%
