Job Description

PURPOSE OF POSITION

  • To provide technical support in financial management, risk assessment/ mitigation and ensure accurate reporting for Grants, Private Non Sponsorship and Sponsorship funded Programs.

Ensure payment documents are backed with all required supporting documents approved by competent staff according to the level of authorization. All payment documents stamped paid and filed correctly with clear reference numbers.

  • Payments done with proper documentation.

  • Clear sequence of documents used for recording purpose.

Keep proper records of fuel and stock management data. Ensure fuel records reconcile with the logbook.

  • Keep books of fuel consumption.

  • Keep stock cards for items purchased under EU project.

  • Prepare journal for fuel used in the month.

Support the project finance manager to ensure reports submitted by the sub-grantee align with grant award document.

  • Review Proper accounting and documentation submitted by the sub grantee.

  • Book keeping and filing of the sub-grantee reports.

Participate in preparation of monthly Field Financial Report

  • The financial report produced on monthly basis with accuracy and effectiveness.

  • Budget analysis must be attached in FFR on monthly basis.

  • Variance explanation well set in the report.

Support the project finance manager to prepare required donor reports in line with grants agreement and partnership standards.

  • Donor reports produced on timely basis to meet their requirements.

  • Good communication with donors for compliance.

Ensure timely preparation of LDR data, subsequent reconciliation with payroll and updated grants database.

  • All staff are submitting their LDRs on 7th.

  • Support and ensure supervisors have approved LDRs of their staff on

  • LDRs records reconcile with the Payroll.

Monitor budget utilization and ensure timely funding of projects.

  • Projects managers are informed on start-up and closing dates of the project.

  • Support programme staff on action to be taken in order to prevent under or overspending.

Facilitate grant finance audit preparation, review management response and monitor implementation of audit recommendations

  • Documents for audit are prepared effectively and efficiently.

  • Documents and explanation required by the auditor are availed in 24 hours.

  • Audit recommendations achieved in 90 days.

  • Acceptable audit results at minimum is required for each audit implemented.

Ensure the reconciliation of bank accounts and other accounts is made on timely basis.

  • Ensure all accounts are reconciling with the picture presented in the financial statement.

  • Ensure the breakdown of each account is made by accurate data and that they present the true picture of the financial statement prepared.

  • Ensure that the financial statement are prepared fairly in all maters respect.

KNOWLEDGE, SKILLS AND ABILITIES

Minimum education, training and experience requirements to qualify for the position:

  • Bachelor Degree in Accounting

List additional work experience required as a minimum qualification for this position.

  1. Minimum 3 years’ experience as Accountant

License, registration, or certification required to perform this position:

Technical Skills & Abilities:

  • Knowledge in accounting as professional practitioner.

  • Excellent computer skills in Excel & Sun-systems software/Visions.

  • Knowledge in reporting process

  • Demonstrated ability in supervision

  • Experience in managing donor funds

  • Working knowledge of Sponsorship operations, finance services and practices is an added advantage.

  • Good planning and organizational skills

  • Ability to maintain effective working relationships with all levels of staff and public

Preferred Skills, Knowledge and Experience:

  • Have experience in working with various donors.

  • Have a good understanding of integration of grants with sponsorship projects.

  • Have a decision making skills.

  • ACCA, CPA or related fields

Work Environment

  • Work environment: Office-based with travel to the field when called upon

  • Travel: 5% Domestic/international travel is required

  • On call: 10%
