Job Description

Program Support Officer – Job Summary

Provide support and coordination to the Ministry Quality and Strategy Division on effective and timely delivery of Programme effectiveness products.

The Package

  • The position is based in Accra.

  • S/He reports to the Ministry Quality and Strategy Director (MQS).

Key Responsibilities but not limited to the following:

  • Developing a coordinated MQS calendar/s of key events and supporting its implementation by following up with the responsible staff and supporting planning of the events.

  • Organizing, coordinating, preparing agenda, and taking minutes of MQS management weekly and quarterly meetings and follow up of implementation of key action points and decisions in a timely manner.

  • Follow up on invitations through emails and phones as appropriate.

  • Planning for and managing logistics for MQS meetings and other forums such as workshops and reflection/ learning events.

  • Plan and manage the documentation process of key MQS events and information/ report dissemination.

  • Receiving and relaying accurate and timely staff and stakeholders incoming and feedback messages and inquiries.

  • Dealing with correspondence, collating information and writing reports, ensuring decisions made are communicated to the relevant staff, partners and stakeholders.

  • Provide support to MQS Director in communicating key assignments and public relations engagements with support from other divisions and departments.

  • Provide communication continuity in the absence of the substantive MQS Director and support acting MQS directors in this regard.

  • Drafting outgoing correspondence to projects, other departments and external stakeholders.

  • Disseminate key information to the zones and projects as per MQ Director’s guidance.

Education / Work Experience / Key Competencies

  • A Bachelor’s degree.

  • Two year experience in a similar role

  • High-level conceptual and analytical skills.

  • Strong interpersonal skills.

  • Very strong relational and communication skills.

  • Commitment to World Vision mission and partnership values and sensitivity to its various expressions across cultures and denominations.

  • Must be a committed Christian, able to stand above denominational diversities.

  • Must have knowledge in computer applications like MS Office and data base management

  • Knowledge in logistical operations

  • Effective communication skills.

  • Abilities in office administration and organization.
