Job Description

Grants Procurement Officer

To facilitate the procurement of goods and services for the Grants Department whiles ensuring that follow-ups and monitoring is efficiently done for all service provisions including contracts and consultancies according to contract.

The Package

  • The position is based in Accra with some level of domestic travel.

  • The position comes with an attractive salary package.

  • S/He reports to the Support Services Manager.

Key Responsibilities

  • Receives and Log all Purchase Requests from Grants Projects (GI-WASH, COCOA LIFE, SATIFY, SUSTAINABLE LIVES, and any other grants and PNS)

  • Source Price Quotes from Suppliers for Grants Projects

  • Process Purchase Orders for Grants Projects

  • Contacting Suppliers to schedule deliveries, shortages and missed delivery

  • Review Vendor Pricing

  • Making sure specifications of items conforms to users requirements

  • Tracking of deliveries and making sure Grants Projects receives exactly what was ordered from vendors

  • Answer Supplier and Users inquiries about Purchase Orders, Requisitions, order changes, cancellation and checking Purchase Orders for accuracy

  • Working closely with stores on all deliveries of items and preparing the distribution list for stores to issues items to the Projects

  • Represent the organization in dealing with related service providers.

  • Maintain communication flow between grant operations and Head Office

  • Communicate Lead Times of delivery to Users.

  • Communicate cost of items requested by Grants Projects to the various Projects to enhance quality budgeting, tracking and reporting.

  • Support Grant projects in preparing Procurement plans

  • Process Vendors Payments for approval and forwarding to Finance for all the Grants Projects

  • Creating and Maintaining of Purchasing Files for Audit Purposes for Grants Projects

  • Updating the POTT and meeting KPIs

  • Updating Savings Spreadsheet

  • Preparing Weekly Procurement reports for the Grants Projects

  • Focal Point for all Grant Related Procurement Issues

  • Constantly visit the field to verify delivery of vendor services from Construction to Consultancy.

  • Perform other duties as required.

Education / Work Experience / Skills

  • A Bachelor’s degree in Business Administration/ or its equivalent from a recognized university;

  • At least three (3) years’ experience in end-to-end procurement process

  • Negotiation expertise

  • G2G certification

  • Charter or Masters in Procurement will be a plus

  • Must be a committed Christian, able to stand above denominational diversities.

  • Attend and participate/lead in daily devotions and weekly Chapel services.
