ECD Program Assistant


Position Title: ECD Program Assistant

PURPOSE OF POSITION: Under the overall supervision of ECE/D Program Manager, the ECD Program Assistant will be responsible to organize, store and analyze data with attention on security and confidentiality with a strong understanding of databases and data analysis procedure, the post holder ensures that information flows timely and securely to and from the office as well.

Major Responsibilities: 

General Administrative Support

  • In close coordination with ECE/D Program Manager the project assistant will assist in all administrative work assigned by the ECE/D Program Manager.

  • Provide support to project team on reporting for the activities.

  • Conduct frequent field visits as necessary, to all program sites in Azraq Camp and Host Community.

  • Support in working and input information for DIP updates on MS Project

  • Prepare Agendas and writing meeting minutes for the staff meetings and provide logistics support when needed.

  • Follow up when needed on the results of meetings with ECE/D Program Manager and ensure that results are implemented as per the meeting.

  • Assist all the staff working under ECD Program in collecting information from the field assistants.

  • Drafting agreements with partner institutions and external consultant

  • Collect and compile Field Trips Schedule from ECD Program team.

Data Entry and Information Processing

  • Assist in the preparation of the different data and information reports and all related documents on monthly basis.

  • Keep and file data records and correspondences related to the project.

  • Support ECD Program field staff in dealing with relevant authorities, organizations, institutions, donors, etc. by keeping necessary data records, beneficiary information and documentation;

  • Prepare, Compile and Sort Documents for Data Entry.

  • Check and verify source documents for accuracy, where necessary.

  • Obtain further Information for Incomplete documents and update data and filter unnecessary files.

  • Enter, filter and finalize Data from source documents and transcribe them into electronic format where required

  • Check Completed Work for Accuracy and Store Completed Documents.

  • Maintain Logbooks or Records of Activities and Tasks.

  • Respond to Requests for Information and Access Relevant Files from ECD Program and MEAL Officer.

  • Comply with Data Integrity and Security Policies.

  • Any other duty as assigned by the ECE/D Program Manager

Education:University Degree in related field.


At Least two -year experience in Data Management and Reporting

Knowledge & Skills:

  • Bilingual (Arabic & English), good command (written and spoken) in both languages.

  • Communication skills

  • Ability to work effectively individually and in a team

  • Attention to detail

  • Time management skills

  • Excellent communication and co-operation skills.

  • Ability to cope and work under pressure, multi-task and meet deadlines.

  • Computer literate mainly in Microsoft Office package.

  • Knowledge of MS Project

  • Very good knowledge of child protection.

  • Willingness to travel to ECD Program Locations in: Amman, Zarqa, Azraq Camp.

  • Very good knowledge of child protection.

  • Good Experience in Humanitarian work inside Azraq Camp.
