Operations Officer

Job Description

Position Title: Operations Officer

PURPOSE OF POSITION:

Under the overall supervision of the Operations Manager, the Operations Officer will be responsible to organize, store and analyze data with attention on security and confidentiality with a strong understanding of databases and logistics procedure, the post holder ensures that information flows timely and securely to and from the office as well as within.

Major Responsibilities:

General Administrative Support

  • In close coordination with the Operations Manager and all the staff working under Syrian Response, the Operations Officer will assist in all administrative work assigned by the Operations Manager.

  • Provide administrative support to OPS department upon request

  • Provide support to project team on reporting for the activities

  • Conduct frequent field visits as necessary, to all program sites;

  • Prepare Agendas and writing meeting minutes for the staff meetings and provide logistics support when needed.

Collaboration

  • Builds and maintains effective relationships with team, colleagues, and partners;

Data Entry and Information Processing

  • Assist in the preparation of the different data and information reports and all related documents on monthly basis.

  • Support field staff in dealing with relevant authorities, organisations, institutions, donors, etc. by keeping necessary data records, beneficiary information and documentation;

  • Check and verify source documents for accuracy, where necessary.

  • Obtain further Information for Incomplete documents and update data and filter unnecessary files.

  • Maintain Logbooks or Records of Activities and Tasks.

  • Comply with Data Integrity and Security Policies.

  • Any other duty as assigned by the Operations Manager

Education:Diploma in business administration or any related field

Experience:2 to 4 years experience in related field

  • Effective in written and oral communication in Arabic and English languages
