Project Officer

Job Description

Position Title: Project Officer

PURPOSE OF POSITION:

Under the overall supervision of the Project Manager, the Project Officer will be responsible to organize, store and analyze data with attention on security and confidentiality with a strong understanding of databases and data analysis procedure, the post holder ensures that information flows timely and securely to and from the office as well as within.

Major Responsibilities:

General Administrative Support

  • In close coordination with NOUR Project Manager and all the staff working under NOUR project, the project assistant will assist in all administrative work assigned by the Project Manager.

  • Provide administrative support to OPS department upon request

  • Provide support to project team on reporting for the activities

  • Conduct frequent field visits as necessary, to all program sites throughout Jordan;

  • Support in working and input information for DIP updates on MS Project

  • Prepare Agendas and writing meeting minutes for the staff meetings and provide logistics support when needed.

  • Follow up when needed on the results of meetings with project manager and ensure that results are implemented as per the meeting.

  • Assist all the staff working under NOUR project in collecting information from the field.

  • Drafting agreements with partner institutions and external consultant

  • Collect and compile Field Trips Schedule from Project team to coordinate with drivers/Fleet coordinator

  • Supervise the project’s driver and organize his/her schedule

Data Entry and Information Processing

  • Assist in the preparation of the different data and information reports and all related documents on monthly basis.

  • Keep and file data records and correspondences related to the project.

  • Support field staff in dealing with relevant authorities, organisations, institutions, donors, etc. by keeping necessary data records, beneficiary information and documentation;

  • Prepare, Compile and Sort Documents for Data Entry.

  • Check and verify source documents for accuracy, where necessary.

  • Obtain further Information for Incomplete documents and update data and filter unnecessary files.

  • Enter, filter and finalize Data from source documents and transcribe them into electronic format where required

  • Check Completed Work for Accuracy and Store Completed Documents.

  • Maintain Logbooks or Records of Activities and Tasks.

  • Respond to Requests for Information and Access Relevant Files from Project Team and DME Officer.

  • Comply with Data Integrity and Security Policies.

  • Any other duty as assigned by the Project Manager

Education:Diploma or university Degree in related field.

Experience:At Least one-year experience as Project Officer, Assistant and Data Entry officer.

Knowledge & Skills:

  • Bilingual (Arabic & English), good command (written and spoken) in both languages

  • Communication skills

  • Ability to work individually and in a team

  • Attention to detail

  • Time management skills

  • Excellent communication and co-operation skills.

  • Ability to cope and work under pressure, multi-task and meet deadlines.

  • Ability to work effectively as a part of a team.

  • Ability and willingness to work in Azraq Camp.

  • Computer literate mainly in Microsoft Office package.

  • Knowledge of MS Project

  • Very good knowledge of child protection.

  • Willingness to travel; Amman Office, 4 Governorates (Amman, Irbid, Zarqa, Mafraq)
