Reporting to the Logistics Coordinator, the Commodity Tracking System (CTS) Coordinator will work in a matrix reporting relationship with the Zonal Associate Director/Manager S/he will manage the CTS database in WV and provide technical support ensuring accurate tracking procedures as well as accounting for LLIN transactions in compliance with laid down procedures and donor regulations
Responsible for data integrity within the CTS system.
Perform in country CTS installation within World Vision and provide end use technical support to ensure a smooth operation of the system.
Perform database consolidations and generate global monthly and quarterly commodity reports for WV.
Ensure integrity of the consolidation process in the WV.
Ensure that each zone commodity report is accurate and reliable for the completion of the monthly and quarterly Commodity Status Reports.
Review invoices from all WV districts and submit to Logistics Coordinator
Perform invoice payments reconciliations with WV Finance
Prepare the CSS and send to WV support offices
Conduct regular trainings to WV CTS staff and maintaining training documents and materials
Address system bugs in consultation with the supervisor and PMU
Maintain a clear accounting and documentation process for each shipment.
Plan for spot checks in all warehouses to review the physical inventory, stacking, ledger books and stack cards.
Review loss register, Shipment files and shipment registers to ensure accuracy and consistence.
Work with the District Warehouse Officers to supervise and provide training for all other commodity staff especially the District Project Officers and distribution assistants at field level.
Minimum Qualifications, experience and Competencies
Bachelor Degree, from an accredited institution, in Business Administration, Accounting, or Statistics
Minimum 3 Years in Data Management, in a similar role
In-depth working knowledge of Microsoft access software package and SQL database management.
Knowledge of Commodity Accounting System and procedures is a must
Good working knowledge of Generally Accepted Commodity Accounting Principles (GACAP) and the WVI Commodity Manual is an asset.
Ability to identify gaps, trends, priorities and key issues.
Ability to solve problems efficiently and effectively
Strong analytical skills
