Supply Chain Coordinator

Job Description

Position : Supply Chain Coordinator

Purpose of Position

To coordinate and manage procurement processes efficiently and effectively so as to get best value for money from all procurements of goods, services and works through procurement planning, strategic sourcing, framework agreements; savings strategies and contract management

Major Responsibilities

  • Managing supplier prequalification activities for all WVM suppliers and service providers.

  • Preparing a price database in a form of catalogues for goods, services and works required by WVM

Strategic Sourcing

  • Facilitate the development of the WV Malawi Procurement Planning including supporting NO and Zones in preparation and submission of procurement plans

  • Identifying NO key areas for saving

  • Negotiating with suppliers for better pricing and delivery of service

  • Develop framework agreements with suppliers

Consolidation of requisitions

  • Ensuring that all requisitions for all planned procurements are submitted before the beginning of FY for consolidating and strategic sourcing

Monitoring and reporting

  • Monitoring and reporting the implementation of procurement plans and saving strategies

  • Establish and maintain collaborative relationships with all external and internal stakeholders i.e. MRA, relevant government departments, suppliers and service providers, and WV staff

Capacity Building

  • Training Supply Chain Officers and stakeholders in WV procurement standards and procedures

People Management

  • Developing Performance Agreements with subordinates

  • Supervise, guide, mentor and coach direct reports enabling quality delivery for assigned tasks.

  • Develop and manage annual leave plans for the SCM Unit

Learning and innovation

  • Actively works towards continuing personal learning and development in SCM.

  • Contributes to innovations aimed at improving business process in SCM

Knowledge Skills and Abilities

  • Bachelor’s Degree in business administration, public administration, social studies or its equivalent

  • Five years of experience in supply chain management function in a busy environment, 2 of which at a supervisory level

  • Professional Diploma in Purchasing and Supply from Chartered Institute of Purchasing and Supply

  • Effective written and spoken communication in English with well-developed negotiation skills

  • Excellent computer skills with experience working with automated/web based procurement systems

  • Demonstrated high levels of integrity

  • Membership with Malawi Institute of Purchasing and Supply and/or Membership with Chartered Institute of Purchasing and Supply

  • Qualified CIPS

  • Experience working in an NGO sector
