Donor Liaison Coordinator

World Vision International (Rwanda) is a child focused Christian humanitarian organization implementing development programs in 24 Districts of Rwanda.

World Vision Rwanda seeks to hire highly qualified, dedicated and experienced nationals for the position ofDonor Liaison Coordinator. The position will be based at the Head Offices in Kigali and reporting to the Communications Manager.

Purpose of the position:

The purpose of this position is to manage World Vision Rwanda’s strategic partnerships with one of its Support Office’s (specifically World Vision Korea’s) major donors, sponsors and supporters on visiting trips (which will include filming visits, work with churches, and major donor trips), by providing timely and accurate reporting on updates on programming to meet Ministry priorities and mutual transformation to achieve child well-being. The holder of this role will, in planning and producing high-quality deliverables that demonstrate program impact at individual, family and community levels, help promote deeper engagement with (potential) supporters and higher fundraising opportunities for World Vision Rwanda, especially through filming.

The expected results will be increased financial support of World Vision Rwanda programs; increased awareness of, and advocacy for World Vision Rwanda’s work in Rwanda; increased support to World Vision Rwanda’s strategy objectives by donors; as well as mutual transformation (both donors and beneficiaries).

The major responsibilities include:

Guests relations and coordination

  • Ensure World Vision Korea guests comply with World Vision Rwanda guest relations guidelines, policies and procedures

  • Work with World Vision Korea to understand donor, media and supporter needs and design visit agendas that respond to the objectives of each proposed visit.

  • Develop and manage a task schedule and master calendar for all key operations or activities to be carried out by all World Vision Korea visitors.

  • Coordinate and plan logistical needs for all World Vision Korea visitors to World Vision Rwanda.

  • Coordinate with World Vision Korea to host donor and sponsor trips in World Vision Rwanda by mobilizing key stakeholders and carrying out ADP pre-visit before donors come

  • Manage and coordinate World Vision Koreas donors, sponsors and church partnersfield visits, to ensure positive and reliable trip experiences.

  • Provide World Vision Korea visitors with World Vision Rwanda operational and country profile, child protection forms and security brief upon arrival or during their stay in the country as the case may be.

  • Provide training of National Office and Cluster staff in donor relations to ensure that donor expectations are met.

  • Develop a profile/ Brochure on WV Rwandas visitors (Maintain a visitors profile Book which should be signed by them before leaving the country)

Supporting filming visits and post-filming follow up

A. Pre-filming stage

  • Ensure government film licenses and necessary permits for media and marketing visits are obtained prior to the visit for World Vision Korea

  • Take responsibility to coordinate with field staff to identify and document child case stories for filming and submit to World Vision Korea

  • Identify and collect domestic issues which can be developed for the potential filming item from (non-)WV Korea-funded Area Programs

B. Filming visit

  • Support all World Vision Korea filming visits accompanying throughout the whole visit schedules and interpretation as necessary

C. Post-filming stage

  • Conduct post-filming support work with field staff to draft proposals on support for filmed child/family

  • Follow-up with the support to the filmed child/family and submit final reports to World Vision Korea

  • Keep track of filmed child cases with case management database

  • Review and ensure quality stories, reports and pictures developed by field staff on grants from World Vision Korea

  • Submit other update resources such as project prayer needs, photos & videos footage for donor engagement for World Vision Korea

Qualifications: Education/Knowledge/Technical Skills and Experience

The following knowledge, skills and abilities may be acquired through a combination of formal schooling, self-education, prior experience or on-the-job training.

  • Minimum Qualification required: Bachelor’s Degree in International Relations, Marketing, Communications, Community Development, or any other field relevant to this role.

  • Experience:

    • At least 5 years’ experience working with high-level donors within the context of an International NGO

    • 2-3 years’ prior English-writing experience, with either a local or international news agency, marketing organization, or NGO.

    • 1-2 years’ experience with still photography, story-writing, case study writing, and videography acquired from either formal or on-the-job training.

  • Technical Skills & Abilities:

    • Sound understanding of transformational and community development, with the ability to translate technical information to a language easily understood by donors and partners

    • Excellent communication and public relations skills with strong English language capability (written and oral), and ability to clearly communicate complex ideas and principles.

    • Knowledge of written and spoken Kinyarwanda, and ability to engage community members comfortably and interpret their thoughts to visiting donors/supporters/filming crews/church partners, etc.

    • Skilled in personal computing, email, and general office productivity software (e.g. Microsoft Office Suite) and other programs for uploading and downloading information
