Supply Chain Assistant II - Wajid
Purpose of the position:
Ensure effective and efficient management of the supply chain processes while observing optimal accountability and adherence to the approved procurement policies and procedures.
Upon receiving purchase requests, initiate a timely procurement process as per World Vision Procurement policy and Field Finance Manual.
Ethical Identification of appropriate vendors using best-in-class practices.
Conduct the competitive bid analysis and submit to Supply chain Officer for review
Draft contracts and generate Purchase Orders using World Vision’s Supply Chain Management System (DAX)
Maintain the Procurement Order tracking Tool Report (POTT) by reconciling Supply Chain Management system DAX and POTT by 5th of the each months for Management Review and action.
Generate weekly Requisition Status report for Management review
Log Supplier Invoices, prepare their payments and make sure that they are timely submitted to accounts for payment with correct documentation
Compilation and submission of monthly invoice reports for accrual
Maintain a systematic filing of all procurement Files and ensure the filing is always updated and easily understood by all and keep documents losses at 0%
Contribute to the development, and implementation of a comprehensive suppliers’ database including catalogues of various products and prices.
Demonstrates well-developed interpersonal skills, excellent communication skills, both verbal and written, as well as negotiation skills
Must adhere to set security standards
Ensure a gender perspective in the scope of work
Perform other duties as required.
Qualifications: Education/Knowledge/Technical Skills and Experience
The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:
Educational level required: Minimum of a Diploma in related field.
Technical Training qualifications required: Certificate in Procurement
Experience: 2 years of experience in a similar job
Working Environment / Conditions:
Work environment: Office-based with frequent travel to the field within the Region.
Travel: 10% Domestic/international travel is required.
On call: Immediately
