GUEST RELATIONS & ADMINISTRATIVE SERVICES OFFICER

Locations: Colombo

Job Profile

Working under the direction of the Administration Coordinator, the position will provide Administrative Service Support and coordinate/facilitate World Vision Guest receipts and staff VISA/Travel requirements. He/She will also provide required assistance to the front desk, events and programme organizing for the smooth operations of World Vision Lanka business processes,

In addition the position will also provide required support in:

  • Effective & efficient management of housing appropriate office facilities/supplies/utilities/equipment without disruptions, to create a motivating working environment.

  • Liaise with WVL field offices in procuring office space/lease agreements, premise management and related functions in maintaining a pleasant and safe work environment within WVL offices

  • Monitor & maintain appropriate records/filing systems to track & monitor bill payments and ensure availability of required information for audit, insurance, budgeting & management purposes.

  • Extend required support for Annual Insurance Surveys, event management, petty-cash float management and accurate expense reimbursement for same

Required qualifications, experience & competencies

  • Degree or Diploma level Academic qualifications in related disciplines

  • Excellent administrative skills and experience

  • Demonstrated experience in a customer relation setting

  • Ability to understand and interpret organizational procedures and policies

  • Ability to work autonomously and as part of a team

  • Ability to effectively time manage and prioritise multiple tasks

  • Excellent communication and customer service skills towards staff and stakeholders

  • Analytical and critical thinking skills for providing solutions

  • Advanced Microsoft Office skills

  • Ability of working in IT based work processes and communications

  • Good oral and written communication in English & Sinhala and/or Tamil

  • Professional attitude and presentation
