Baucau Administration Assistant

Job Description

Administration Assistant (1 Position)

PURPOSE OF POSITION:

Assist in managing the administrative activities of the Area Program.

Membantu mengurus aktifitas administrasi dari Area Program.

Major Responsibilities:

  1. Negotiate agreements and purchase orders within budget.

    Merundingkan perjanjian perjanjian dan permintaan pembelian dalam anggaran belanja.

  2. Monitor how purchasing policies and procedures are implemented by staff; supervise a central purchasing system ensuring the appropriate use of requisitions, bid evaluations, purchase orders, and receiving reports in a timely manner.

    Monitor pelaksanaan kebijakan dan prosedur dari karyawan, mengawasi sistim pembelian memastikan daftar permintaan digunakan dengan tepat, evaluasi penawaran, permintaan pembelian dan menerima laporan tepat waktu.

  3. Assist in the annual Administration Department budget preparation.

    Membantu menyiapkan anggaran belanja tahunan dari Departemen Administrasi.

  4. Monitor administration budget.

    Memantau anggaran belanja administrasi.

  5. Perform other relevant tasks as assigned by the Area Manager and Associate Manager.

    Melakukan tugas lain yang diberikan oleh Area Manager dan Associate Manager.

  6. Attend and participate in regular staff and devotional meeting.

    Menghadiri dan ikut serta dalam doa harian karyawan.

  7. Work collaboratively with other administration staff in the district and national office.

    Bekerja sama dengan staff administrasi di distrik dan kantor nasional.

  8. Attend and participate in regular government, NGO and UN meetings.

Menghadiri dan ikut serta dalam rapat pemerintah, NGO dan UN.

Knowledge, Skills, Abilities:

Education

Pendidikan

Completed at least high school level with accounting background

Minimal Sekolah Menengah Atas dengan latar akuntansi

Preferred/Diperlukan

Training on administration or office management.

Pelatihan administrsi atau manajemen kantor.

Skills

Pengetahuan & Keahlian

Computer literate in Excel and Word

Keahlian computer dalam penggunaan Excel dan Word

Essential/Diperlukan

Organizational skills including time/task management, file/office management, and planning.

Ketrampilan berorganisasi meliputi manajemen waktu/tugas, manajemen kantor/arsip, dan perencanaan.

Essential/Diperlukan

Demonstrate concern skills, including use of Microsoft Office, Lotus Notes, Internet, and various software applications and databases used in work efforts.
