Human Resources Assistant

Job Description

PURPOSE OF POSITION

To provide administrative support to human resources functions as needed, including but not limited to personnel data administration, maintenance and filing, coordination of document flow, recruitment, orientation and training, contract preparation, etc.

MAJOR RESPONSIBILITIES

Major Activities

Recruitment and Hiring

  • Support in keeping all JDs updated. Support with translation of JDs.

  • Assist Managers in recruitment of key national staff members.

  • Conduct reference check for final candidates insuring Child Protection related questions are asked.

  • Check and file all recruitment documents.

  • Ensure that HR policies and procedures are strictly followed in all field offices.

  • Review all contact/amendment requisition forms and all the attached documents for correctness.

  • Ensure that all the required documents are submitted for contract/amendment preparation.

  • Prepare contracts/amendments for national staff.

  • Update organization chart on a regularly basis or upon need.

Contracts, Personnel Files and Database, OurPeople

  • Maintain electronic personnel database. Make entries into databases on daily basis, keeping databases fully operational and up-to-date.

  • Keep personnel files accurate, updated and confidential. Collect and file all documents for personnel files.

  • Maintain and update Our People database (if applicable).

  • Maintain P&C/HR related information/document flow. Ensure that all communications are circulated in a timely manner.

  • Provide information from personnel database for different reports.

  • Keep P&C/HR-related templates updated and available to all staff. Provide support to all staff in filling-in the templates as per requirements.

Leaves and Time Attendance

  • Ensure that leave tracking is maintained for all national staff for both in Syria and Turkey

  • Ensure that timesheets are prepared and sent with the deadline.

Child Protection

Ensure compliance with Child Protection Policy by coordinating with P&C Assistant, including the process of obtaining police background checks for each new employee

Other Responsibilities

  • Support with documents translation whenever necessary.

  • Support the field team in Syria when needed.

  • Perform other relevant tasks assigned by the direct supervisor;

KNOWLEDGE, SKILLS AND ABILITIES

  • University/college degree recognized in Higher Education or equivalent is regarded;

  • Experience and knowledge of Human Resource practices, including recruitment and hiring;

  • Must have at least one year of sound experience in Human Resources field, preferably implementing/facilitating level

  • Previous experience of work in response and relief projects

  • Very good English language skills;

  • Very good Turkish skills

  • Good communication skills, in both written and oral form;

  • Honesty and personal integrity;

  • Cross-cultural sensitivity and ability to work in a high multi-national environment;

  • Attention to details;

  • Strong interpersonal skills;

  • Ability to handle sensitive and confidential information with absolute discretion is mandatory for this position, and not doing so will be cause for termination;
