As part of the Policy and Programmes Directorate the Knowledge Hub exists to enable transformation for most vulnerable children through providing technical expertise, generating compelling evidence of impact and applying learning.

The Team Coordinator role is to provide excellent operations management, information management; coordination and support function to the Knowledge Hub, using initiative, strong relationship and efficient planning to enable team efficiency and assist in the achievement of the teams objectives.and would suit an enthusiastic and efficient team coordinator lookingto gain experience in International Development.

Key Responsibilities

Support to Knowledge Hub Management:

Assist the Knowledge Hub by:

  • Liaising with managers; facilitate team meetings (agenda & minutes), ensure the timely preparation and circulation of papers / pre-reads; outputs from meetings

  • Planning and managing key events – team away days, training workshops, visitor itineraries, internal and external research launches / roundtable events etc.

  • Gathering information and preparing the quarterly KPI reports

  • Supporting KH share information / updates for inclusion in P&P weekly news etc.

  • Keeping record of mandatory team training to assist line management in monitoring compliance

Team Support:

To provide efficient team administration by:

  • Facilitating payments preparing Purchase Orders; Contracts; processing invoices; managing inter office payments

  • Reviewing KH budget transactions monthly to ensure appropriate coding and accuracy of budget reports. Liaise with budget holders and finance to rectify any errors

  • Assisting with timesheet system

Administrative Support to the Head of Knowledge Hub:

Provide assistance to the Head of Knowledge Hub as necessary, including:

  • Scheduling KH team meetings; Steering Group meetings

  • Convening national and international meetings;

  • Organising travel (flights, visas, currency etc.);

  • Support implementation of WV Strategy

Internal & External Communication:

  • Supporting the design, cleaning and maintenance of KH sharepoint site; to ensure that the KH and teams have access to knowledge, evidence and learning to support their roles

  • Carrying out review of data and undertaking defined pieces of desk based / internet research.

  • Helping create graphics for and support the production of evidence and learning material as required

  • Packaging / re-packaging / summarising evidence for internal and external audiences.

  • Ongoing networking and liaison with WVUK & WV International stakeholders to ensure Knowledge Hub is informed of, and engaging with processes that are important to the team’s ability to fulfil its role.

  • Work with other Team Coordinators to ensure coordination and overall support between teams

  • Providing support to cross-team meetings and initiatives.

You will need strong IT skills including Word, Excel and PowerPoint, attention to detail and proven experience in administration. Other useful experience includes the review of data and the ability to carry out research.
