Fundraising and Operations Coordinator

*Preferred location: London, UK (Victoria Office). Position location to be determined by home country of successful candidate within a jurisdiction (country or US state) where VFI/WVI is registered to operate.

PURPOSE OF POSITION:

VisionFund is seeking a Fundraising Coordinator to provide administrative support to the team. The role will support the Fundraising Manager Europe to maximize fundraising effectiveness, in support of VisionFund's microfinance work. The position will largely focus on global fundraising coordination and team administration. The key tasks in this role will provide on the fundraising team’s performance against targets, and for specific products, enabling the team to analyse, adjust and improve performance.

VisionFund is seeking an Operations Coordinator to provide administrative and reporting support to the Deputy COO and COO. The role will focus on the gathering of data and collation into reports, as well as providing general administrative support for meetings, thereby enabling the Operations department – and the Finance department which manages the relationship with KIVA - to have high quality information upon which to make decisions and ultimately have an improved impact on the lives of the clients VisionFund serves.

KEY RESPONSIBILITIES:

Fundraising Coordination and Support (50%)

General:

  • Logistics and organisation for the department’s F2F and virtual meetings.

  • Be the Fundraising team point of contact for key strategic stakeholders as delegated by manager (including Support Offices, Key Relationship Managers, Finance dept, MarComms dept, MFIs).

  • Representing Fundraising at weekly MarComms team meetings within VFI.

  • Team support + Ad hoc Fundraising tasks such as event coordination, volunteer engagement and donor visit logistics.

Monthly:

  • Oversight of VFTS/horizon and SO funds tracking.

  • Financial tracking of Women’s Empowerment Fund and Tech Fund.

  • Financial reporting – data collection and analysis and cross checking financials for the fundraising dept.

  • FR team meeting set up, agenda input and minutes coordination.

Quarterly:

  • Coordination of Quarterly investors report (data gathering).

  • Team activity reporting (quarterly) – tracking of Implementation plan and project management of the production of the global reporting scorecard.

  • Team budget coordination and financial tracking for the department.

Operations coordination (50%):

  • General administrative support for Deputy COO and COO.

  • Coordination of the monthly Operations reporting – gathering information from each region and from specific functions (audit, P&C etc) and collating it into one document for DCOO review.

  • Coordination of the quarterly Ops report – gathering information and collating it into one document for DCOO review.

  • Logistical planning and support for Ops calls and meetings and preparation for the regional conferences (twice per year for each region).

  • Data gathering and presenting reports on the data e.g. staff-related data from the MFIs, under the direction of DCOO.

  • Coordination of KIVA statistics from all of the MFIs.

  • Monitoring how well we are meeting the expectations of KIVA in providing stories from the field and reporting on this.

  • Training MFIs in the needs of KIVA – what information/client stories to provide KIVA and how best to present them in a compelling way that will appeal to donors on the KIVA website.

  • Monthly reporting on the KIVA finances and locations.

  • Contribute information to the VFI finance department that will enable further development of the KIVA relationship and more proactive involvement of VFI finance department in proposing MFIs to KIVA.

KNOWLEDGE, SKILLS & ABILITIES:

  • Excellent organisational skills and attention to detail.

  • Excellent computer skills – MS Word, Excel, Ppt, databases, and scheduling.

  • Solid written and verbal communication skills at bachelor degree level (could have been gained through study or work experience) e.g. for report writing.

  • Financially numerate and able to work on budgets and scorecards, and basic data analysis skills – numeracy at bachelor degree level (could have been gained through study or work experience).

  • Significant experience providing administrative support in a fundraising, development or corporate sales environment.

  • Proven diplomatic skills – ability to work with senior staff, ability to influence and negotiate, ability to manage expectations of stakeholders.

  • Experience in international development / marketing / fundraising project management.

  • Experience of fundraising in a Christian non-profit organization.

  • Experience of training others, including across language barriers and different cultures.

  • Fundraising knowledge and cultural awareness, ideally gained through experience in an international fundraising context.
