Administrative Coordinator

Job Description

Administrative Coordinator (1) Lusaka

Purpose of the position

To coordinate and oversee technical and office administrative support work within Operations Directorate, including the provision of varied and complex office administrative support to Regional Offices, Technical/Grant Acquisition group and other departments at the National Office in line with World Vision policies and standards. The Coordinator will implement improved office and departmental procedures; provide expert professional assistance to management staff, visitors and perform related work so as to facilitate programming that will contribute to achievement of Child wellbeing Outcomes.

Major Responsibilities

  • Interact with other organizations to plan and implement cooperative leadership/training programs/Workshops as requested done

  • Create and maintain appointments, workshops and other relevant tasks for the operations department.

  • Prepare and monitor budgets for Operations Director’s Office.

  • Prepare materials for the Operations Director’s daily appointments and meetings

  • Screen, respond to or re-route correspondences and inquiries as directed by the Operations Director;

  • Process Leave/vacation requests for all department and relevant program related staff, including preparation of annual leave/vacation plan for all operations staff and APs.

  • Establish and maintain communication links with the National Director’s office, Technical/Grants Acquisition group, Regional Offices, Human Resources office, Finance and other office on a wide variety of issues

  • Support operations Task Groups/Committees.

  • Staff and organization records, WVI policies and standard practices on records management kept

  • Operations Training and workshop sessions coordinated, Coordinate assignment of University Students on vacation training to Area Development Programs

Qualifications/Education/Knowledge/Technical Skills and Experience

  • Bachelor’s degree in any Social Science, Business Management or Advanced Diploma in Administration Management or related field with 3 years’ experience

  • Experience working in an administrative capacity with middle or senior management;

  • Demonstrated ability to work as an effective team member with senior administration, department, support and clerical staff;

  • Excellent oral, written and interpersonal communication skills;

  • Experience in conducting background research and literature searches;

  • High level of organizational and planning skills;

  • Ability to exercise appropriate independent judgment;

  • Ability to determine appropriate priorities and be self-directed;

  • Proficiency in a variety of computer applications

  • Experience in preparing and monitoring budgets;

  • Knowledge of the educational component of a post-secondary institution is an asset.
